These Vehicle Rental Terms and Conditions apply to all self-drive vehicle rentals provided by Unseen Namibia Safaris and Vehicle Rentals CC, trading as Unseen Namibia Safaris.

By confirming a booking, the renter agrees to these Terms and Conditions, the accepted quotation, the vehicle rental agreement and any applicable insurance conditions.

The renter is responsible for ensuring that all authorised drivers understand and comply with these conditions.

A deposit of 50% of the total rental amount is required to confirm a reservation.

The outstanding balance must be paid at least 45 days before vehicle collection.

Bookings made within 45 days of collection require full payment upon confirmation, unless otherwise agreed in writing.

All reservations are subject to vehicle availability and written confirmation by Unseen Namibia Safaris and Vehicle Rentals CC.

All cancellations must be submitted in writing to info@unseennamibia.com.

The following cancellation fees apply to the total rental amount:

• More than 60 days before collection: 10%
• 31–60 days before collection: 25%
• 15–30 days before collection: 50%
• 8–14 days before collection: 75%
• 7 days or fewer before collection: 100%
• No-show: 100%

Any refund due will be calculated after deducting the applicable cancellation fee, subject to applicable law.

No automatic refunds will be granted for unused rental days or early vehicle returns.

Rental periods are calculated in 24-hour periods unless otherwise specified in the quotation.

Vehicles must be collected and returned at the agreed locations, dates and times.

Any extension must be requested and approved in writing at least 48 hours before the scheduled return.

Late returns may result in additional rental charges.

Unseen Namibia Safaris and Vehicle Rentals CC reserves the right to provide a vehicle of similar specification if the originally reserved vehicle becomes unavailable.

The minimum driver age is 21 years, subject to the applicable insurance requirements.

All drivers must hold a valid driving licence recognised in Namibia and any other authorised country of travel.

Only drivers listed and approved in the rental agreement may operate the vehicle.

Driving under the influence of alcohol, drugs or medication that impairs driving ability is strictly prohibited.

The renter remains responsible for the vehicle throughout the rental period.

Insurance cover is subject to the applicable policy conditions, exclusions and limitations.

Zero Excess Cover applies only to eligible insured claims and does not eliminate liability for excluded or uninsured damage.

A refundable security deposit or credit card authorisation hold of NAD 10,000 is required for every rental vehicle.

This requirement applies to both Standard Cover and Zero Excess Cover.

The security deposit may be used to settle valid outstanding charges, including:

• Missing fuel
• Traffic fines
• Missing equipment
• Excessive cleaning
• Damage or other charges payable under the rental agreement

Any deductions will be supported by an explanation of the charges.

The remaining balance will be released after the vehicle has been returned and all outstanding charges have been assessed, subject to payment-provider processing times.

Tyre and windscreen protection is included under the applicable Zero Excess Cover option, subject to the insurance policy's conditions and limits.

For Standard Cover, the applicable tyre and windscreen excess or liability will be specified in the individual rental agreement.

Damage resulting from prohibited driving, negligence or travel in excluded areas may not be covered.

All drivers must comply with Namibian traffic laws and the driving regulations of Unseen Namibia Safaris and Vehicle Rentals CC.

The following conditions apply:

• Maximum permitted speed on gravel roads: 80 km/h, or a lower posted limit.
• All posted speed limits must be observed.
• Driving outside towns after sunset is prohibited without written permission.
• Off-road and dune driving are prohibited unless specifically authorised.
• Driving on beaches, saltpans, unproclaimed tracks and unsuitable roads is prohibited.
• Driving through rivers, flooded areas or deep water is prohibited.
• Vehicles may not be used for racing, towing without permission or unlawful activities.
• Drivers must exercise additional caution on gravel roads and in wildlife areas.

Failure to comply may result in additional liability and loss of insurance protection where permitted by the applicable policy and law.

Certain remote or high-risk areas are restricted and may be excluded from insurance protection.

These include:

• Okavango Delta
• Moremi
• Savute
• Khaudum
• Areas west of Sesfontein in Kaokoland

Written approval from Unseen Namibia Safaris and Vehicle Rentals CC is required before travelling into restricted areas.

Any additional exclusions or authorised exceptions will be specified in the rental agreement.

Cross-border travel requires prior written approval and the necessary documentation.

Unauthorised border crossings are prohibited.

Insurance protection may be invalidated or may not apply in circumstances including:

• Reckless or grossly negligent driving
• Driving under the influence of alcohol or drugs
• Speeding
• Driving by unauthorised or unlicensed persons
• Unauthorised off-road or dune driving
• Driving on unsuitable roads
• Unauthorised cross-border travel
• Water damage, flooding or water crossings
• Sandstorm damage
• Undercarriage damage
• Certain single-vehicle accidents
• Failure to report accidents or theft
• Deliberate damage or unlawful use of the vehicle

The renter may be held responsible for resulting losses, damage, recovery expenses and other applicable charges, subject to the insurance policy and Namibian law.

Personal belongings, medical expenses and personal injury are not automatically included in vehicle damage cover.

In the event of an accident, theft or damage, the renter must immediately contact Unseen Namibia Safaris and Vehicle Rentals CC.

Accidents and theft must be reported to the relevant police authorities as soon as practicable and within 24 hours where required.

The renter must provide all relevant information, including photographs, witness details and police case numbers.

No repairs, towing arrangements or settlement of third-party claims may be undertaken without prior approval, except where immediate action is necessary for safety.

The renter must cooperate with all reasonable insurance investigations.

Unseen Namibia Safaris and Vehicle Rentals CC will arrange reasonable assistance in the event of a mechanical breakdown.

Where a breakdown results from normal mechanical failure not caused by the renter, reasonable repair or replacement arrangements will be made subject to availability and location.

Where a breakdown results from negligence, misuse, prohibited driving or breach of the rental agreement, the renter may be responsible for repair, recovery, towing and replacement costs.

Due to the remote nature of some Namibian destinations, assistance may be delayed.

Vehicles must be returned with the agreed fuel level and all equipment supplied at collection.

The renter is responsible for fuel, traffic fines, parking penalties, tolls and other charges incurred during the rental period.

Missing equipment, excessive dirt, damage and fuel shortages may result in additional charges.

Vehicles must be returned in substantially the same condition as received, allowing for reasonable wear and tear.

Smoking inside rental vehicles is prohibited.

The renter must take reasonable care of the vehicle and comply with all rental conditions.

Unseen Namibia Safaris and Vehicle Rentals CC may terminate a rental agreement where a material breach, unlawful conduct or unsafe vehicle use occurs, subject to applicable law.

The renter remains responsible for amounts lawfully payable under the agreement.

Nothing in these Terms and Conditions excludes liability or consumer rights that cannot legally be excluded.

Personal information provided during the booking and rental process may be used for reservations, driver verification, insurance administration, vehicle security, recovery and legal compliance.

Rental vehicles may be equipped with GPS tracking systems for security, operational and recovery purposes.

Personal information will be handled in accordance with the Privacy Policy of Unseen Namibia Safaris and Vehicle Rentals CC and applicable law.

These Terms and Conditions are governed by the laws of the Republic of Namibia.

Any disputes will be addressed in accordance with applicable Namibian law and the agreed rental documents.
